2. Scope

This policy covers Buyer RFQs, supplier qualification submissions, commercial partnership applications, business correspondence and consent-based website analytics.

3. Data we process

Depending on the form, we process contact and company details, product and transaction requirements, supplier capability and verification information, professional experience, confirmations, correspondence, language and source-page values, and technical data required for security. Analytics data is processed only after consent.

4. Purposes

We use personal data to assess and respond to RFQs, qualify potential suppliers, review commercial partnership applications, coordinate transactions and documentation, prevent abuse, maintain business records and comply with applicable legal obligations.

5. Legal bases

Processing is based, as applicable, on GDPR Article 6(1)(b) for requested pre-contractual steps, Article 6(1)(f) for legitimate interests in business communication, qualification, security and record keeping, Article 6(1)(c) for legal obligations, and Article 6(1)(a) for optional analytics consent.

6. Form processing and service providers

Website forms transmit data directly to a Google Apps Script endpoint. Accepted submissions are processed and recorded in Google Sheets used under Euro Agri Trading's control. Google provides this infrastructure as a service provider. We do not publish form submissions or make them available as public documents.

7. Analytics and cookies

Google Analytics 4 is loaded only after analytics consent. It may process device, browser, approximate location and interaction data for website measurement. You may refuse or withdraw analytics consent at any time. Essential storage may be used to remember necessary site or consent choices.

8. Sharing and international processing

Data may be shared only where necessary with contracted service providers, professional advisers, authorities, or qualified transaction parties at the appropriate stage and subject to confidentiality and applicable safeguards. We do not sell personal data. Service providers may process data outside the EEA under their applicable transfer safeguards.

9. Retention

We retain data while a commercial opportunity, qualification or cooperation review is active and afterwards only as reasonably necessary for follow-up, legal claims, compliance and record-keeping requirements. Records are reviewed and deleted or anonymised when no longer needed.

10. Security

We apply proportionate technical and organisational measures and restrict access according to business need. No internet transmission or storage system can be guaranteed completely secure.

11. Your rights

Subject to applicable conditions, you may request access, rectification, erasure, restriction, portability or objection, and may withdraw consent without affecting prior lawful processing. You may also lodge a complaint with the Czech Office for Personal Data Protection or another competent supervisory authority.
